Most HubSpot problems are not HubSpot problems.

The pattern we see repeatedly: a company buys HubSpot expecting clarity, and eighteen months later the pipeline reports are not trusted, deals are updated retrospectively, and the marketing team and the sales team quote different numbers. Almost none of that is the software. It is that the CRM was configured to mirror an idealised process rather than the one the business actually runs.

The consequence is a data-quality spiral: because the reports are wrong, nobody relies on them; because nobody relies on them, nobody maintains the records; because nobody maintains the records, the reports get worse. Adding automation on top of that accelerates the problem rather than fixing it.

So the work starts with the deal stages, the lifecycle definitions and the properties that actually decide decisions - agreed with the people who have to update them. Unglamorous, and the difference between a CRM that runs the business and an expensive contact list.

The website and the CRM should be one system.

A form that emails a notification is not an integration. Properly connected, the site tells HubSpot who someone is, what they looked at and what they asked for - so a salesperson opening the record sees the pricing page visit, the case study read and the form submission in one timeline, and the conversation starts several steps further along.

That connection is also what makes attribution honest. Without it you are guessing which channel produced the pipeline; with it you can see which pages precede the deals that actually close, which is the only version of the question worth answering.

Because we build the website and the integration, the tracking is designed with the pages rather than retrofitted onto them - which is why the events tend to describe real buying behaviour rather than whatever was easiest to instrument afterwards.

Automate the workflow, not the relationship.

HubSpot will happily automate more than it should. The rule we apply is that automation should remove administration, not manufacture false intimacy: routing, reminders, task creation, data hygiene and handoffs, yes. A sequence pretending to be a personal note from someone who has never heard of the recipient, no - B2B buyers recognise it instantly and it costs more trust than it saves time.

The other constraint is consent. The tracking script sets an identifying cookie and builds a contact timeline, which makes it a marketing tracker under a consent banner rather than a functional one. It should be classified honestly, which does mean visitors who reject marketing get no chat - a real trade-off, and one worth making deliberately.

Where automation genuinely pays is at the seams between systems: quotes into deals, deals into invoicing, form submissions into properly-shaped records. That is integration work, priced after we have looked at your actual setup.
